Monday - Friday 9:00am - 6:00pm
・Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands for back office
・Organize and schedule meetings and appointments for management when necessary.
・Organize office operations and procedures
・Coordinate with IT department on all office equipment
・Manage contract and price negotiations with office vendors, service providers, and office lease (if necessary)
・Provide general support to another department
・Design and implement organised filing systems
・Ensure filing systems are maintained and current
・Establish and monitor procedures for record-keeping
・Liaise with local Authority and Town Council for license renewal and new application for major license e.g.: Entertainment License, Liquor License
・Monitor and maintain office supplies inventory
・Record and keyed in all Employees’ data into HRIS and also hard copy filing
・Liaise with Company secretary on Com Sec documents and requirements
・Monitor Time Attendance System
・Maintain a safe, secure, and pleasant work environment
・Recruitment and Selection (post advertisement, select candidates for interview conduct preliminary interview, prepare letter of employment, briefing, onboarding briefing)
・Organize orientation and training of new staff members
・Manage all staff disciplinary issues (warning letters, show caused letter)
・Payroll administration and process (from raw data to month salary) management reports). Ensure salary is paid timely and accurately
・Ensure that all labour issues are in compliance with the current labor practice.
・Evaluate and manage staff performance
・Review Employee Handbook on yearly basis.
・Design and implement office policies and procedures as and when needed and also as required by current market trend
・Oversee adherence to office policies and procedures
・Incorporate and instil Japanese culture to all employees by Japan Headquartered
・Any other assignments as deem fit and necessary from Management from time to time.
・Min Diploma and above
・HR/Admin Manager experience in retail related business company (similar industry) is an add advantage
・Able to communicate well in English
